JOB TITLE: Administrative Officer
REPORTS TO: Chief Entrepreneurial Development Officer or designate
 
 

JOB OVERVIEW

The Administrative Officer (AO) serves as a vital strategic partner, ensuring the CEDO’s focus remains on high-impact entrepreneurial initiatives. This role provides advanced administrative and project management support, optimizes workflows, and enhances operational efficiency while acting as a trusted liaison with internal and external stakeholders. The AO’s proactive problem-solving skills and ability to prioritize competing demands are essential to the success of the CEDO and by extension NEDCO. The successful candidate is also responsible for providing executive administrative and secretarial support to the Office of the Chief Entrepreneurial Development Officer by drafting, proofreading, editing, copying and transmitting documents.
 

ESSENTIAL RESPONSIBILITIES AND DUTIES

  • Act as the primary point of contact for the CEDO, managing communications, schedules, and commitments to ensure optimal time management and focus on strategic priorities;
  • Assist in planning, scheduling and coordinating appointments and meetings (including following up on action points) in a timely manner, while providing reminders as required;
  • Maintain the CEDO’s electronic and physical filing systems to ensure ease of access to information and files as needed;
  • Prepare and distribute agendas, presentations and minutes for meetings;
  • Compile data where required and produces the necessary reports, as required;
  • Provide prompt and quality customer service by projecting and demonstrating a high level of professionalism, courtesy and initiative in accordance with established guidelines and policies;
  • Prepare correspondence for the CEDO e.g. letters, memos, forms, (including handling of confidential information);
  • Provide administrative support including telephone coverage, mail handling, supplies control;
  • Schedule executive meetings, travel plans as required;
  • Photocopy documents/packages for distribution to the Board of Directors, on a monthly basis;
  • Successfully interacts with the lending staff of all branches to improve accuracy and
    efficiency; 
  • Prepare Purchase Requisitions for the Office of the CEDO.
  • Process the All Risk Insurance (ARIS) and Credit Life Insurance application for new business and renewals;
  • Communicate with internal/external stakeholders on projects and any other matters related to the Office of the CEDO;
  • Follow up with Internal Staff on reports and matters related to the CEDO;
  • Disseminate internal communications on the CEDO’s behalf and follow up on key tasks assigned to her direct reports;
  • Assist with special projects as assigned by the CEDO; 
  • Perform any other duties as requested to ensure the smooth operation of the Office of the CEDO

  • Must maintain strict confidentiality at all times;
  • High level of discretion, professionalism, and dependability;
  • Proficiency in MS Office Suite; and
  • Advanced proficiency in Microsoft Office applications, particularly Ms. Excel.


MINIMUM QUALIFICATIONS & EXPERIENCE

  • A University Degree (Bachelor’s Degree or equivalent) in Business Administration, Business Management or Office Administration;
  • Minimum of two (2) years’ experience in executive administrative support or a similar role; and
  • Experience in Project Management would be an asset
